AGENT

Hi, is this Sarah? My name's Helen — I'm an automated assistant calling on behalf of Smith Plumbing about invoice 1043. Do you have a moment?

SARAH

Yeah, hi. Sorry, I meant to pay that — has it been chasing me?

AGENT

No worries at all. It's $1,284.50, twelve days past due. I can send you a secure payment link by text right now if that's easiest — would that work?

SARAH

Please, yes. Card link's perfect.

Outcome Paid in full — invoice closed, owner notified, no follow-up needed.
The problem

Chasing late payers is the worst job you don't have time for.

You did the work. You sent the invoice. Now it's weeks overdue and you're stuck choosing between three bad options: chase it yourself and feel like a nuisance to your own customer, let it slide and wear the cash-flow hit, or hand it to a debt collector who takes a cut and treats your customer like a target.

Debt collectors typically charge a commission on what they recover, and once they're involved, the relationship with your customer is usually finished.

There's a fourth option.

The solution

A polite, persistent assistant that does the chasing for you.

Recoupa connects to your accounting software, watches for invoices that slip past their due date, and follows up automatically — a friendly reminder first, then, if needed, a real phone call on your behalf. It asks for payment, offers a payment link on the spot, and can arrange a simple payment plan within limits you set. Firm enough to get a result, polite enough to keep your customer — and because it's your assistant, not a collection agency, you keep everything you recover.

It actually picks up the phone.

Reminder emails get ignored. Recoupa makes a real, natural phone call — identifies itself as calling on your behalf, asks for payment, and sends a payment link while it has them on the line.

You stay in control.

Nothing goes out until you approve it. You set the tone, the limits, and who gets contacted. You can pause or take over any time, and you get a plain-language summary of every call.

Built to stay on the right side of the rules.

Contact hours, how often a customer is contacted, and what the assistant is allowed to say are all bounded by built-in guardrails designed around Australian debt-collection guidance.

How it works

Set up in minutes. You approve everything before it starts.

  1. 01

    Connect your accounting software.

Securely link Xero and Recoupa finds your overdue invoices automatically. (MYOB and QuickBooks coming soon.)

  2. 02

    Set up your assistant.

Choose its voice and tone, and set the limits — like whether it can offer a payment plan, and for how long.

  3. 03

    Test it on yourself.

Call your own phone and hear exactly what your customers will hear. Adjust until you're happy. Nothing goes live until you've tried it.

  4. 04

    Approve who gets contacted.

Review the list and uncheck anyone you'd rather leave alone. Then switch it on.

  5. 05

    Get paid, stay informed.

Recoupa works your overdue invoices and sends you a daily summary — who paid, who promised, and anything that needs you.

The honest answer

“AI calling my customers” — won't that damage the relationship?

It's the first thing every business owner asks, so here's the honest answer: it depends entirely on how it's done, which is why we built Recoupa to be polite and bounded, not aggressive.

  • It always identifies itself as an automated assistant calling on your behalf — no pretending to be human.
  • It never threatens, never raises its voice, and stops the moment someone asks it to or disputes the invoice.
  • If a customer is having genuine difficulty, it eases off and flags it to you rather than pushing.
  • You hear it yourself before any customer does, and you see every call afterwards.

The goal is simple: get the invoice paid and keep the customer. A collector can't offer you that.

Questions
Is this a debt collection agency?

No. Recoupa is software — an assistant that chases overdue invoices on your behalf. You stay the creditor, you keep control, and you keep everything you recover. For seriously delinquent debt you may still choose a licensed collector or lawyer; Recoupa is about recovering the everyday overdue invoices before it gets to that.

What does the AI actually say on a call?

It introduces itself as calling on your behalf, confirms it's speaking to the right person, explains there's an overdue invoice, and asks how the customer would like to pay — offering a payment link or, if you allow it, a simple payment plan. You can hear exactly what it says by testing it on your own phone.

Is it compliant with Australian rules?

Recoupa is built with guardrails designed around Australian debt-collection guidance — limits on when and how often customers are contacted and what the assistant may say. As with any tool, you're responsible for how you use it, and we recommend reviewing your settings for your situation.

Which accounting software does it work with?

Xero at launch. MYOB and QuickBooks are on the way.

Can I try it before it contacts any real customers?

Yes — and you have to. Recoupa won't go live until you've run at least one test call to your own phone and approved the list of who gets contacted.

What happens if a customer disputes the invoice?

The assistant stops chasing that invoice immediately, captures what they said, and hands it to you to resolve. It never argues about a disputed debt.

Can I cancel?

Anytime, from your dashboard.
